Privacy Policy

This policy explains how QuoteWise, a service operated by AI ESTIMATE QUOTING SERVICE LTD (company no. 17248973, registered in England & Wales), collects and uses your personal data. AI ESTIMATE QUOTING SERVICE LTD is the data controller.

Data we collect

• Account details — your email address and authentication data when you sign up or sign in.
• Project content — the drawings, files and project information you upload so we can produce an estimate.
• Quote requests — the email address and scoping answers you provide through the quote-request form.
• Usage data — if you accept analytics cookies, how you interact with the site (see our cookie policy).

How we use it

• To provide and operate the QuoteWise service and generate estimates.
• To respond to your quote requests and support enquiries.
• To secure, maintain and improve the service.
• To understand usage and improve the product, where you have consented to analytics.

Project documents

Drawings, structural calculations, planning certificates and other documents you or your architect, engineer or builder send us are stored as supplied, under your project. We keep the original files unchanged and record where each one came from, who supplied it, and when.

Every document is given a role that controls what it may be used for:

• Estimating input — drawings we read to measure and price the work.
• Supporting evidence — documents such as structural calculations that we read to corroborate the drawings, but which do not themselves set a quantity or a price.
• Reference only — documents we store so you and we can find them later, such as a lawful development certificate. These are never sent to the estimating system and never influence a quote.

What we may use your documents for

We record, per document, which of the following apply. The first two are internal — your documents are not shown to anyone outside the service. The third is not, and we treat it differently.

• Preparing your quotation. Reading your drawings to measure and price the work you asked us to quote.
• Testing and improving our estimating system. We re-run real projects through our own accuracy checks to find where our estimates were wrong and make them better. We may use your project data to improve our rules, checks, instructions, and AI components. This is how the service improves at the job you asked it to do, and it is covered by these terms. Your documents stay within the service; they are not shared, published, or shown to other customers.
• Publishing or sharing as an example. Using your drawings as a public sample or case study. We do not do this without asking you first, and we will not assume it.

Sending us documents by email or upload gives us what we need for the first two. It does not transfer ownership or copyright in them, and it never permits the third.

If you would prefer your project was not used for testing or improvement, tell us and we will exclude it. That will not affect your quotation.

How long we keep project documents

We keep your project documents for as long as your account is active, so that you can revisit a quote and we can answer questions about how it was produced. You can ask us to delete a project’s documents at any time using the contact details below, and we will do so unless we are required to retain them for legal reasons.

We also generate searchable text and structured data from some documents so you can find things inside them. That derived data is regenerable and is deleted with the document it came from.

Legal bases

We rely on contract (to provide the service you ask for), legitimate interests (to secure and improve the service) and consent (for analytics cookies, which you can withdraw at any time).

Service providers

We share data with processors only as needed to run the service: Supabase (authentication and database hosting), Vercel (application hosting), Resend (transactional email), Sentry (error monitoring), and OpenAI (AI processing of your drawings to generate estimates). With your consent we also use Google Analytics 4 and Microsoft Clarity for analytics.

Retention

We keep your data for as long as your account is active or as needed to provide the service, and then delete or anonymise it unless we are required to retain it for legal reasons.

Your rights

Under UK GDPR you have the right to access, correct, delete or port your data, to object to or restrict processing, and to withdraw consent.
